Terms And Conditions By agreeing to these terms, you acknowledge and agree to be bound by the conditions of use listed below, and any future revisions and additions, as published by Ruapehu Scenic Shuttles or its partners. Booking Terms Cancellations We understand that unforeseen circumstances may arise whereby you may need to make a change or cancellation to your booking. It is our goal to work with our clients to help minimise any losses from all parties; yourself, us, as well as our accommodation providers and other partners that we may work with. We recommend travel insurance to protect you against cancellation in the event that you are unable to proceed with your booking. Cancellation fees apply as follows · Cancellation within 48hrs of day of travel – 100% of ticket price will be charged · Cancellation more than 48 hours before departure – 20% of ticket price will be charged · Any Booking or credit card payment fees are non-refundable. Cancellation due to weather! Standard refund conditions apply if the operator has specifically cancelled due to weather that makes it unsafe to participate in the activity. Bookings maybe transferred to another date without additional charge but no refund. If we cancel, clients will be refunded the purchase price or credit transfer to another date. Note 3rd party booking fees where applied are non refundable. Bookings made with less than 24 hours notice are non refundable but maybe transferred to another date. Requests for refunds after cancellation by the operator must be received within 72 hours. No refund will be given to any client who fails to turn up for a confirmed booking or has mislead the operator. *From 3rd December 2021 all clients are required to supply a Vaccination Pass. If one is not supplied the Driver will refuse service and no refund will be given. Covid-19 - Should your trip be impacted by a government imposed Covid-19 related travel restriction, we will happily work with you to postpone your trip to future dates or provide you with a refund less unrecoverable fees for your booking. Please Note: Our Covid-19 policy only applies if you are directly affected by a “government imposed travel restriction” - If you are not directly affected by a travel restriction, our standard cancellation terms will apply. Cancellations and Refunds All cancellations must be made in writing and sent to ruapehushuttle@gmail.com These cancellation fees are not negotiable, therefore we strongly recommend that you purchase insurance. All cancellations excluding Third party booking fees and payment fees which are not refundable. Clients may transfer to another date once per booking with 72 hours notice to the supplier without incurring any charges. Unless due to unforeseen circumstances of force majeure where operator discretion may apply. All refund requests must be in writing to ruapehushuttle@gmail.com Refund policy we reserve the right to cancel any activity at any time due to conditions that would make the activity unsafe. Pick-ups & Departure times can be strict. Customers are to be ready 10 minutes before departure from pick-up destination or as prior arranged with Management preventing further travel delays to other clients. The operator reserves the right to alter pick up times at short notice if the operator is delayed. The operator shall not be liable for any additional costs that may apply from missed or delayed departures. Customers maybe liable for additional costs incurred due to delay. All refunds will be made to the same credit card used for the booking. Transfers of bookings may be issued in the form of a credit to a future booking. Vouchers are transferable to another person or service we provide within 12 months. Force majeure maybe applied due to pandemic, Earthquake or other unforeseen event including increased costs to provide service. We reserves the right to alter, amend or cancel any trip should weather or any other circumstances necessitate this. Bookings that are not paid in full are not confirmed bookings until payment is received and the operator is under no obligation to complete the booking. Pricing will be guaranteed for 1 month only due to rising fuel prices affecting operational costs. Front seat Passengers are currently not permitted due to Covid unless with driver consent. User Error Customers are responsible for providing accurate information at the time of their booking. When providing information, the customer agrees that the information will be accurate. We are not responsible for errors made by customers while using the service, its official websites, email or mobile text or manipulation of bookings to client advantage. Confirmation emails are provided at the time of booking to allow customers to review details of their reservation in advance. Confirmation emails may not be sent if booking is made on the same day. The client is advised to call to confirm booking. Cancellations due to user error will incur a minimum $20 admin fee plus non refundable booking fees attached to the order. Travel Insurance Cancellation fees are not negotiable; therefore we strongly recommend that you purchase travel insurance. Mountain Bike Transport, Ski Equipment Transport We will endeavour to always take the necessary precautions to transport your bicycle or ski gear in a safe manner to minimise possible damage. We recommend that the customer takes out insurance to cover any loss or damage to his/her ski equipment/bicycle and agrees that we will not be held liable for any damage or loss. Seatbelts are provided for customer safety. We require customers to wear seatbelts while traveling inside our vehicles. It is the customer’s responsibility to ensure the seatbelt is securely fastened, as required by law. Infants will be assigned a seat it is the responsibility of the care person to ensure the child is properly restrained. Vehicle capacity:- Ruapehu Scenic Shuttles fleet consists of 2 x vans that can accommodate 8 passengers, and 1 x 22-seater bus. Seat capacity is limited to seats with working safety belts. New Zealand laws prohibit loading vehicles beyond seating capacity. Any attempt to do so may require additional vehicle reservations. Inherent Risk and Safety The customer accepts that cycling, Hiking and Sking and associated activities have inherent risks, and can be dangerous. The customer understands that these risks include (but are not limited to): illness, navigational difficulties, rough riding conditions, poor weather, and collisions, all of which may occur in very isolated conditions with no cell phone reception. The Customer accepts all responsibility and liability for ensuring their own safety. The operator reserve the right to withdraw any person who we believe is likely to endanger themselves or others. Customer Liability To the extent permitted by law, the customer hereby release, waive, discharge, hold blameless and indemnify the operator and all persons, entities, operators and contractors connected to the operator from any and all liability for death, disability, personal injury (including mental injury), property damage, property theft, loss of personal equipment and all other foreseeable risks, claims or actions of any kind (including negligence) whatever and however occurring may arise, at any time, from or in connection with, directly or indirectly, as a consequence of the customer carrying out the activities detailed in their itinerary. The customer will provide their own travel insurance to cover their expenses in cases of unforeseen circumstances. The customer must provide any medical details that may adversely affect their participation (e.g. pregnancy, chronic conditions, asthma) at the time of the booking.
